INTRODUCTION
This handbook has been developed to assist the coaching staff of Lithonia High School in effectively serving the students who choose to participate in our interscholastic athletic program. It provides essential information regarding athletic department procedures, regulations, and guidelines to support coaches in administering, maintaining, and supervising their respective athletic programs.
In addition to the information presented in this handbook, all members of the coaching staff are expected to be thoroughly familiar with the rules governing their specific sport(s), as well as the constitution and by-laws of the Georgia High School Association (GHSA).
Please note that this manual is intended to serve as a reference guide and may not address every possible situation or question that may arise. Its purpose is to promote consistency, organization, and efficiency within the athletic department.
Coaches who have questions regarding policies, procedures, or expectations should contact the Athletic Director for clarification or further guidance.

Mission Statement
The mission of the Lithonia High School Athletic Department is to provide student-athletes with a positive and competitive athletic experience that supports the academic goals of Lithonia High School. Through participation in athletics, we strive to develop teamwork, discipline, perseverance, leadership, and sportsmanship while helping students grow both on and off the field of play.
Philosophy
At Lithonia High School, athletics are considered an important part of the overall educational experience. Our athletic program is designed to support the school’s academic mission while encouraging the physical, emotional, and social growth of our student-athletes.
Participation in athletics is a privilege that carries responsibilities. Student-athletes are expected to demonstrate respect, accountability, commitment, and good sportsmanship at all times. Coaches play a vital role as educators and mentors who guide students in developing positive habits, leadership skills, and a strong work ethic.
All coaches, student-athletes, and supporters of Lithonia High School athletics are expected to represent the school in a manner that reflects pride, integrity, and respect for the Lithonia community.
II. Communication Protocol
To ensure effective communication and efficient operations within the Lithonia High School Athletic Department, all athletic-related concerns should be directed to the Athletic Director.
This includes, but is not limited to:
- Game cancellations or schedule changes
- Equipment needs or concerns
- Transportation requests or bus scheduling
- Facility use and practice scheduling
Coaches should follow the established chain of communication and consult the Athletic Director before contacting outside organizations or district offices regarding athletic matters.
Following proper communication procedures helps maintain organization, prevents miscommunication, and ensures that all athletic programs operate in alignment with Lithonia High School and DeKalb County School District expectations.
III. Core Values of Lithonia Athletics
The Lithonia High School Athletic Department is committed to developing student-athletes who reflect the following core values both on and off the field of play.
Integrity
Student-athletes and coaches are expected to demonstrate honesty, fairness, and ethical behavior in all athletic and academic activities.
Accountability
All members of the athletic program are responsible for their actions, effort, and commitment to the team, the school, and the community.
Respect
Respect must be shown to teammates, coaches, opponents, officials, teachers, and school staff at all times.
Effort
Student-athletes are expected to give their best effort in practices, competitions, and in the classroom.
Teamwork
Athletics teach the importance of working together toward a common goal. Team success is built on cooperation, communication, and mutual support.
These values represent the standard for behavior and performance within the Lithonia High School Athletic Department.
IV. Role of the Coach at Lithonia High School
Coaches at Lithonia High School serve not only as instructors of sport but also as educators, mentors, and role models for student-athletes. Coaches are expected to promote a positive environment that supports the academic and personal development of every participant.
The responsibilities of a Lithonia High School coach include, but are not limited to:
- Teaching the fundamental skills, strategies, and rules of the sport
- Promoting good sportsmanship and respect for opponents and officials
- Encouraging academic success and monitoring student-athlete progress
- Maintaining appropriate supervision of student-athletes at all times
- Modeling professionalism, integrity, and leadership
- Ensuring compliance with all school, district, and GHSA policies
- Promoting a safe and inclusive environment for all participants
Coaches are representatives of Lithonia High School and are expected to conduct themselves in a manner that reflects positively on the school and its athletic programs.
GHSA COACHES EDUCATION REQUIREMENTS
According to the Georgia High School Association (GHSA), individuals serving as athletic coaches must meet the following employment and certification standards:
- Professional Employment Requirement
A coach must be a professional educator who is:- Employed by only one Board of Education or similar governing authority, regardless of whether compensation is received.
- Exception: A coach may be employed by another school district only if all Boards of Education and all principals/headmasters involved sign a consent form annually.
- One or More of the Following Employment Conditions Must Be Met:
- Employed for 20 or more hours per week on a regular basis in a professional contracted position, and hold a valid teaching or leadership certificate issued by the State of Georgia.
- Employed for 20 or more hours per week as a JROTC Instructor in the school’s JROTC program.
- Assigned as a student intern in a practice teaching situation under the supervision of a college or university teacher training program.
- A retired educator teaching or supervising less than one-half time (i.e., fewer than 20 hours per week).
- A certified teacher or administrator at a member school who is currently on approved medical leave under the Family Medical Leave Act (FMLA) or the Georgia Teacher Maternity Leave of Absence policy.
All coaches must comply with these requirements to be eligible to coach in GHSA-sanctioned athletic programs. Failure to do so may result in sanctions for both the individual and the school.
GHSA COACHING PASS
To receive a GHSA Coaches Pass, all coaches must meet eligibility criteria and follow the official request process through DragonFly Max.
Eligibility Requirements
To be eligible for a GHSA Coaches Pass, an individual must:
- Be listed on the official Staff Roster for Lithonia High School
- Be free of any GHSA fines
- Be a certified head coach, assistant coach, or approved community coach
Request Process
- Log in to the DragonFly Max Portal
- Navigate to “Cards & Events”
- Click on your name, then select “Request a Card”
- Upload a clear, professional headshot
- Note: Photos that are blurry, unprofessional, or unclear will be rejected
Approval Process
- The Athletic Director will complete the initial approval within DragonFly Max.
- Final approval is granted by the GHSA Office.
All coaches must have an active and approved GHSA Coaches Pass to gaon entry in GHSA-sanctioned events and gain access to designated areas at competitions.

COACHING RESPONSIBILITIES AND COMMUNICATION GUIDLINES
Coaches at Lithonia High School are responsible for developing and maintaining a high-quality athletic program that aligns with the LHS Athletic Department’s philosophy and adheres to GHSA policies and regulations.
Coaches are granted authority to:
- Develop team rules and expectations
- Set practice and game schedules
- Encourage, mentor, and discipline student-athletes as needed
- Select team members based on established criteria
Parent Communication Guidelines
Coaches reserve the right to determine the appropriate time and setting to engage in conversations with parents. While discussions related to a student-athlete’s effort, attitude, and work ethic are welcomed and may provide helpful insight, conversations solely focused on playing time are not considered appropriate.
All communication between coaches and parents should be conducted in a professional and respectful manner. Coaches are expected to make decisions in the best interest of the team as a whole, which may not always align with the preferences or expectations of individual athletes or their families.
This approach ensures a positive, team-centered environment that promotes growth, accountability, and integrity within the athletic program.
COACHING CONDUCT AND PROFESSIONAL EXPECTATIONS
Coaches at Lithonia High School are expected to uphold the highest personal and professional standards. As representatives of the school, the district, and the broader athletic community, coaches must consistently always project a positive image of the profession and model exemplary behavior. This includes adherence to the following standards:
1. Tobacco, Drugs, Alcohol & Performance-Enhancing Substances
Coaches must comply with all district policies regarding tobacco, drugs, alcohol, and performance-enhancing supplements. These rules apply equally to coaches and student athletes at all district-sponsored activities and events.
- Coaches are strictly prohibited from using tobacco products or consuming alcohol while supervising students.
- Coaches must actively discourage the use of these substances by student-athletes and educate them about their negative health and performance impacts.
2. Language and Communication
Coaches are expected to communicate with student-athletes and others in a respectful, constructive, and professional manner.
- The use of profane, harassing, or inappropriate language, including sexual innuendos, intimidation tactics, or belittling remarks, is strictly prohibited.
- Coaches must foster an environment where communication is motivational, encouraging, and free from verbal abuse.
3. Respect and Sportsmanship
Coaches are expected to model and promote mutual respect, fairness, and sportsmanship.
- Treat all student-athletes, fellow coaches, opposing teams, officials, parents/guardians, and spectators with dignity and professionalism.
- Encourage competitive but respectful play that upholds the integrity of the sport and the reputation of Lithonia High School.
- Reinforce these expectations with student-athletes through consistent behavior and team culture.
4. Academic Awareness
Coaches must recognize and support the academic responsibilities of student-athletes.
- Practice and competition schedules should be planned with consideration for academic demands.
- Coaches should encourage student-athletes to maintain good academic standing and support their efforts to balance athletics with classroom responsibilities.
SUPERVISION
With increased awareness of school liability and the safety of students participating in extracurricular activities, coaches are held to a high standard of supervision and accountability. It is the responsibility of each coach to ensure the safety, conduct, and whereabouts of student-athletes always during school-sponsored athletic activities.
Supervision Expectations
Coaches must:
- Know where their student-athletes are and what they are always doing.
- Develop and communicate clear rules of behavior to their team. These expectations must cover all phases of team involvement, including but not limited to:
- Pre- and post-practice routines
- Locker room and shower behavior
- Conduct while traveling to and from competitions
- Off-campus training or conditioning sessions
- Sportsmanship and behavior during competition
Facility Security and Access
- Coaches are responsible for ensuring that all athletic facilities being used are secured before and after team use.
- Students must not be given access to facilities without adult supervision by a competent staff member.
- In situations where direct supervision is not possible (e.g., short bathroom breaks), the coach must still be in proximity and able to intervene if necessary.
Presence Before and After Activities
- Coaches must remain with their team before and after practices, games, and events until all student-athletes have safely left the premises or been picked up.
- Do not isolate yourself or leave the area until all students are accounted for, especially those in the building or at pickup/drop-off locations.
By maintaining strong supervision, coaches not only reduce liability risks but also help ensure a safe and structured environment that reflects the values of Lithonia High School Athletics.
Locker Room Supervision
Student-athletes MUST be always supervised. Supervision includes proximity to locker room facilities and lobby areas where student-athletes wait for ride as well as practice and competition areas. All coaches are responsible for supervision. Coaches should make themselves visible in all areas as much as possible. Coaches should be last to leave the facility after a practice or competition.
- WEATHER POLICY AND PROCEDURES:
Weather conditions must always be taken into consideration when planning and conducting practices or competitions. The safety of student-athletes and staff is the top priority.
District Closures Due to Inclement Weather
- If the school district closes school due to inclement weather, all athletic practices, games, and activities are automatically canceled. No exceptions are permitted.
Severe Weather During Practice
- In the event of a severe weather alert or the onset of dangerous weather conditions during practice, the following guidelines apply:
- Coaches will be advised by the Athletic Director (AD) on whether to continue or suspend the practice.
- If immediate decisions are necessary and no guidance is yet provided, coaches are expected to use their best judgment in making a safety-based decision.
- Coaches must follow established severe weather safety protocols, including taking shelter as needed and ensuring all athletes are accounted for and safe.
Severe Weather During Competitions
- If severe weather affects a contest:
- GHSA officials assigned to the event will determine whether the game/contest should be paused, delayed, or canceled.
- Coaches are expected to support and comply with these decisions immediately and without dispute.
Important Reminder: Lightning, extreme heat, heavy rain, and high winds are all examples of conditions that require immediate attention and action. Coaches should always be prepared to safely suspend activities and move athletes to shelter when needed.
- EMERGENCY PROCEDURES AND INJURY RESPONSE:
At Lithonia High School, the Athletic Director, in collaboration with the coach, and the Athletic Trainer, will develop sport- and site-specific emergency action plans (EAPs) for each athletic venue. These plans are designed to guide the safe and effective management of uninjured team members during an emergency.
All coaches are required to be familiar with and follow the appropriate Athletic Emergency Plan for their sport and facility.
Coach Responsibilities in Emergencies
- First Aid Kits:
- Coaches must maintain stocked first aid kits, especially when traveling to away games or off-campus events.
- Supplies should be checked regularly and replenished as needed.
- Judgment and 911 Calls:
- Coaches are encouraged to use sound professional judgment when assessing injuries.
- If there is any doubt about the severity of an injury, calling 911 is advised without hesitation.
Communication in Emergencies
- All coaches should have immediate access to a working cell phone in case of emergency.
- Coaches without personal cell phones or reliable access to one must inform the Athletic Director so alternative emergency communication methods can be arranged.
Reminder: Preparation, communication, and calm execution of the emergency action plan can be critical in protecting the health and safety of student-athletes.
COACHES’ RESPONSIBILITIES FOR STUDENT SAFETY & INCIDENT REPORTING
The safety and well-being of all student-athletes is the top priority of the Lithonia High School Athletic Department. Coaches are expected to consistently prioritize safety in all aspects of practice, competition, travel, and team-related activities.
In the event of a student safety incident, whether it occurs on-site or off-site, it is imperative that the coach:
- Immediately notifies the Athletic Director (AD) and appropriate school administration.
- Provides accurate and timely details regarding the nature of the incident, those involved, and any actions taken.
- Completes any required documentation or incident reports as directed by the AD or school policy.
Prompt reporting ensures that appropriate support and follow-up measures can be implemented and helps maintain a safe environment for all students.
ALL FORMS OF HARASSMENT
The Dekalb County School District strives to provide a safe, positive learning climate for students and employees. Therefore, harassment in any form is not tolerated (See Dekalb County Handbook).
ELECTRONIC COMMUNICATION & SOCIAL MEDIA POLICY
The Lithonia High School Athletic Department recognizes that electronic communication and social media are essential tools for communicating with student-athletes, parents, and the school community. However, coaches are expected to use these platforms responsibly, professionally, and in alignment with school and district policies.
General Guidelines
- All communication with student-athletes should be clear, professional, and related to team activities (e.g., schedules, practice updates, reminders).
- When possible, group messaging platforms (e.g., Remind, TeamSnap, GroupMe,
BAND) should be used instead of private one-on-one messages. - Coaches should avoid personal conversations through text or social media platforms that are not related to athletics.
Social Media Conduct
- Coaches must model responsible behavior on all social media platforms. Posts should reflect the values of sportsmanship, respect, and professionalism.
- Coaches should never post content that:
- Violates student privacy or confidentiality
- Includes inappropriate language, images, or humor
- Disparages athletes, officials, schools, or other coaches
- Promotes or appears to condone illegal or unethical behavior
Communication Boundaries
- Do not "friend" or "follow" student-athletes on personal social media accounts. Use only school-approved platforms for communication.
- Avoid posting images of student-athletes without proper permissions.
- Refrain from communicating with student-athletes electronically after reasonable hours unless in case of an emergency or schedule change.
Reporting Misuse
Any misuse of electronic communication or social media by coaches, athletes, or associated individuals must be immediately reported to the Athletic Director for review and appropriate action.
By adhering to these standards, coaches help maintain a safe, respectful, and focused environment that supports the mission of the Lithonia High School Athletic Department.
Staff members are expected to maintain a high degree of professionalism in all communications. Given the potentially broad reach of electronic communications and the propensity for reaching unintended recipients, staff members must be particularly cognizant of the need for professionalism regarding their electronic communications.
- Coaches should not use any means of two-way personal electronic communications (e.g., Twitter, Facebook, student personal email, text messaging, etc.). Coaches may use their own DCSD email or a team DCSD email and the students’ Office 365 email accounts. Coaches should encourage athletes to set up their phones to receive messages from their DCSD student email accounts.
- All apps and online sites used to communicate with student-athletes should be those approved by DCSD.
- Coaches should not text or call students’ cell phones.
ANTI-HAZING POLICY
The Lithonia High School Athletic Department maintains a zero-tolerance policy for hazing in any form. Hazing is strictly prohibited and will not be tolerated under any circumstances, whether on or off campus, during school hours, at athletic events, or during team-related activities.
Definition of Hazing
Hazing is defined as any action, whether physical, mental, emotional, or verbal, that is intended to humiliate, intimidate, degrade, or endanger a student as a condition of joining or participating in a team, regardless of the individual's willingness to participate.
Examples of hazing include, but are not limited to:
- Forced or coerced participation in physical activities or stunts
- Verbal abuse or humiliation
- Exposure to extreme weather, deprivation, or unsafe conditions
- Any form of harassment, bullying, or initiation rituals
Coach and Athlete Responsibility
- Coaches are responsible for clearly communicating this policy to all student-athletes and for actively monitoring team behavior.
- Student-athletes are expected to treat all teammates with respect and dignity and to immediately report any suspected hazing activity.
- Hazing will be treated as a serious disciplinary issue and may result in suspension or dismissal from the team, school disciplinary action, and/or legal consequences.
Reporting Hazing
- All hazing incidents or suspicions must be reported immediately to the Athletic Director or a school administrator.
- Reports will be handled confidentially and investigated thoroughly. Retaliation against anyone who reports hazing will not be tolerated.
The Lithonia High School Athletic Department is committed to providing a safe, inclusive, and respectful environment for all student-athletes. Team bonding and unity should be built through positive, character-building experiences; not fear, humiliation, or harm.
Lithonia High School believes that students must be protected from hazing and/or initiation ceremonies. All verbal, written, or physical conduct, which harasses, humiliates, persecutes students, or disrupts or interferes with any student’s curricular or extracurricular experiences shall not be tolerated. Coaches must enforce all district policies on Hazing.
TRANSPORTATION
Student-Athlete Transportation Policy
The Dekalb County School District places the highest priority on student-athlete safety during transportation to and from athletic practices and competitions. Therefore, the following transportation policy applies to all student-athletes and athletic teams at Lithonia High School:
Required Use of School Transportation
- Student-athletes are expected to ride school-provided bus transportation to and from all athletic events and practices.
- Student-athletes are not permitted to drive themselves or ride with peers or friends to or from away contests under any circumstances.
Exceptions to the Policy
- Exceptions are permitted only with prior approval from the coach, Athletic Director or AP-Athletics.
- In the event of a legitimate hardship or unavoidable circumstance, a parent may transport their own child, but the following steps must be taken:
- A written email request must be submitted by the parent to the coach, Athletic Director or AP-Athletics at least 24 hours prior to the scheduled contest.
- The email must include a specific explanation of the hardship or reason for the alternate transportation request.
- The request will be reviewed and notification of approval (or denial) will be disclosed.
- Before the student-athlete leaves the contest, the coach must personally speak with the parent to confirm that they and not another student or unauthorized individual are transporting the athlete.
- The parent must sign a release form confirming transport of their child.
Note: Failure to follow these steps will result in the athlete not being allowed to participate in the contest or event.
Transportation-Coach Responsibilities
- A certified coach must be present on the bus during all trips.
- Coaches should never follow the team bus in their personal vehicles; they are responsible for supervising student-athletes throughout travel.
- Coaches are accountable for maintaining appropriate student behavior and safety during all transportation.
Bus Scheduling Procedures
- Bus request forms must be submitted to the Athletic Director 30 days in advance of the scheduled event.
- Bus requests must be submitted on the Bus request form.
- In the event of a make-up game, tournament, change of information, please submit the request immediately and contacting the Athletic Director.
- Timely submission ensures transportation is arranged and confirmed for all scheduled events.
By adhering to this policy, we ensure the safety and accountability of all student-athletes while representing Lithonia High School and Bibb County with integrity and professionalism.
ACADEMIC SUPPORT PROGRAM
The Lithonia High School Athletic Department is committed to the academic success of all student-athletes. Participation in athletics is a privilege that must be balanced with strong academic performance and responsible citizenship.
To support this balance, all coaches shall establish an Academic Support Program designed to:
- Promote academic accountability and encourage student-athletes to maintain strong classroom performance.
- Provide resources and support services to help student-athletes meet or exceed academic eligibility requirements.
- Foster time management, study habits, and goal-setting skills that will benefit students beyond high school.
Key Components of the Academic Support Program
- Regular grade checks and progress monitoring by coaches and the Athletic Director.
- Mandatory study hall or tutoring sessions for student-athletes who fall below academic standards or who are referred by teachers or coaches.
- Close collaboration with teachers, counselors, and families to ensure students receive the support they need.
- Intervention plans for at-risk students, including individualized academic improvement strategies.
Eligibility Standards
All student-athletes must meet the academic eligibility requirements set by the Georgia High School Association (GHSA) and DeKalb County School District to participate in athletics. Students failing to meet these standards may be placed on academic probation and may not be allowed to compete until improvements are demonstrated.
GHSA COMPLIANCE AND RULES CLINIC REQUIREMENTS
All coaches at Lithonia High School are required to strictly adhere to the rules and regulations set forth by the Georgia High School Association (GHSA). These rules are published annually in the GHSA Constitution and By-Laws (commonly referred to as the "white book"). Coaches must be thoroughly familiar with and always operate within these guidelines.
Rules Clinic Attendance
- All coaches are required to attend the annual GHSA-sponsored rules clinic for their respective sport.
- It is the responsibility of the head coach to ensure that all assistant coaches and personnel affiliated with their sport attend the required clinic.
- Failure to attend a rules clinic will result in a $200 fine, which must be paid by the individual coach who failed to comply.
The Athletic Director will support compliance by distributing updates and confirming attendance records each year.
Consequences for Non-Compliance
Any blatant disregard of GHSA rules or regulations may result in one or more of the following disciplinary actions:
- Formal reprimand
- Fines levied against the individual or the school
- Possible suspension or dismissal of the head coach or assistant coaches involved
Compliance with GHSA policies is not optional—it is essential to maintaining the integrity of Lithonia High School’s athletic programs and ensuring eligibility and fair play for all student-athletes.
BEGINNING DATES FOR PRACTICE
The beginning dates for practice are set by the GHSA. These dates can change from year to year, so check first in the GHSA manual and then with the Athletic Director.
BOOSTER CLUBS
The Lithonia High School Athletic Department recognizes the important role that Booster Clubs play in supporting and enhancing the experience of our student-athletes. Booster Clubs are parent-led, volunteer organizations that work in partnership with coaches, the Athletic Director, and school administration to promote school spirit, raise funds, and support athletic programs.
Purpose of the Booster Club
The primary objectives of the Booster Club are to:
- Support athletic teams through fundraising, volunteer efforts, and community engagement.
- Enhance the overall athletic experience for student-athletes by providing resources not covered by the school budget (e.g., equipment, team meals, uniforms, end-of-season events).
- Promote sportsmanship, school pride, and positive representation of Lithonia High School in the community.
Guidelines and Expectations
- All Booster Club activities must be aligned with school and district policies and must be approved by the Athletic Director and/or school administration.
- Booster Clubs are not authorized to make personnel decisions, manage team operations, or interfere with coaching responsibilities.
- All financial activities must be transparent, and fundraising efforts must follow district-approved procedures.
Getting Involved
Parents, guardians, alumni, and community members are encouraged to join and actively participate in Booster Club activities. Their time, talent, and support are vital to the continued growth and success of our athletic programs.
Together, we can build strong teams, successful programs, and lasting memories for our student-athletes.
COMMUNITY (LAY) COACHES GUIDELINES
In accordance with the Georgia High School Association (GHSA), community coaches—also known as lay coaches—may serve as assistant coaches in athletic programs. These individuals are not certified school employees but assist in the coaching of one or more sports under specific guidelines and with proper authorization.
Requirements and Regulations
A new rule for 2025-2026 is the time allowed to complete the course. In the past, community coaches were allowed 60 days to complete the course. Beginning in 2025-2026 coaches will be allowed 30 days to complete the course (attend two classes and complete two exams). They will be marked disqualified if they have not attended both classes and completed both exams within 30 days. (Please remember that community coaches are not eligible to coach until AFTER they have completed the community coach course.)
Another important change to the community coach course last year was the $100 fine for coaches missing their scheduled community coach classes. This has become necessary due to the number of student/coaches absent from last year’s classes. Some of the new coaches have been unable to register for the course due to the number of coaches rescheduling classes – not rescheduling just once but numerous times. Every time a coach is registered a seat is reserved for him/her in a class with limited seating. By not attending their scheduled classes they are taking a seat from another coach that may need to attend the class to complete their certification to begin coaching. In order to avoid this fine please be sure your coach understands this new rule and the importance of attending their scheduled classes.
(Prior notice, in writing, to the GHSA office informing of the coach’s absence will waive the fine. We must receive the notice at least 3 days before their scheduled class.)
POINTS OF EMPHASIS
(SCHOOLS)
- It is very important to inform the GHSA office three days prior to the class if your community coach cannot attend their scheduled class. There are other coaches that may be waiting for a seat in the class.
- The new rule for 2025-2026 – community coaches have 30 days to complete the course.
- All class reschedule requests must come from the school in writing. Please include the coach’s name and new class date. (A $100 fine is due for community coaches that miss their scheduled classes – if the school does not notify the GHSA office at least 3 days before their scheduled classes.)
- When rescheduling classes for your coach please don’t request that I “just put him in a class”. This has been a problem in the past and it works much better to have your coach choose a class date convenient for him/her.
- Don’t request special exceptions for your coach because he/she failed to do what was required to become certified to coach.
- Make sure all information is correct before submitting online registrations. The last 4 digits of their Social Security Number and their last name are used as part of their log-in to access the classes. Their email address is used as the primary source of communication.
- Please keep a copy of your coach’s certificates on file at your school.
- Community coaches are not to call the GHSA office requesting class reschedules, GHSA passes, etc.
- Payment for the course fee is due within two weeks of registration. It is the school’s responsibility to ensure the course fee is paid for every coach they register.
- Please be sure to send identifying information with every check so it can be posted correctly – attach a copy of the registration form or put the coach’s name on the check. It takes time to research payments to be sure they are posted correctly.
Please read the attached Rules for Online Classes. Be sure your coach knows and abides by all rules. Any coach violating a rule will be removed from the class.
- Please do not tell community coaches to call the GHSA office. Be sure that coaches understand they should direct all questions to their Athletic Director. The Athletic Director can then contact us if necessary.
- Single System Affiliation
- A community coach may not hold a contract with more than one Board of Education.
- Head Coaching Prohibited
- Community coaches are not permitted to serve as head coaches under any circumstances.
- Supervision Requirement
- A community coach must be under the immediate supervision of a certified coach at all times during practices, games, and team-related activities.
- Mandatory Certification and Training
- Before beginning any coaching duties, community coaches must complete the NFHS Coaches Education Program (NFICEP), including:
- First Aid Training
- Coaching Principles Course
- In each subsequent year of service, community coaches must attend the annual GHSA rules clinic specific to their sport.

Head Coach Responsibilities
- Head coaches are responsible for identifying and recommending potential community coaches for their teams.
- A written recommendation must be submitted by the head coach to the Athletic Director and Principal, who will review and forward the recommendation to the Superintendent for final approval.
- Head coaches must ensure that all training, certification, and compliance requirements are met before the community coach begins working with student-athletes.
Reminder: Proper adherence to these guidelines ensures compliance with GHSA regulations and promotes a safe, effective coaching environment for all student-athletes.
BUDGETING & FUNDRAISING GUIDE
1. Coaching Supplements

2. Budget Development Process
Each coach is responsible for creating a season budget before collecting any funds.
Budget Process:
- Prepare a budget that includes projected expenses (e.g., equipment, travel, uniforms, fees).
- Meet with the bookkeeper (Ms. Amanda Brown) to review and complete the budget agreement process.
- Upon approval, receive a receipt book.
- Ensure all transactions follow cashless protocols.
3. Fundraising & Player Dues

PURCHASING
All athletic purchasing shall be done through the Athletic Director and the bookkeeper using the approved athletic request forms. All purchases require the approval of the Athletic Director, and Principal. The following procedures should be followed:
- All requests must be in accordance with the spending plan that is submitted to the athletic director and bookkeeper.
- Secure prices on needed merchandise. Competitive shopping should be conducted (Ensure company is an approved vendor with the County).
- Different sports requiring common articles and/or equipment shall coordinate purchases to take full advantage of volume buying.
- Complete a purchase order requisition that can be found outside the bookkeeper’s office and forward to the Athletic Director for approval.
- The Athletic Director shall approve (or deny and return to the head coach) and give to the bookkeeper to finalize with the principal’s signature. Appropriate funding must exist before a purchase order can be created.
- Inspect merchandise upon arrival for any damage.
- Send any packing slips and/or invoices to the Athletic Director.
OFFICIALS:
Officials are covered by DeKalb County:
- Regular-season games: Officials are paid directly through DeKalb County Athletics
Exceptions – Must Be Paid by the School:

TEAM MEAL CHECK POLICY

Motel/Hotel Accommodation Check Policy
- Request Process:
- Only the head coach may request checks for lodging.
- Use the official athletic department request form.
- Payment Requirements:
- The check must be made payable to the motel/hotel.
- A copy of the motel/hotel confirmation must be attached to the request.
- Documentation:
- It is the head coach’s responsibility to gather and submit all required documentation.
- Tax-Exempt Status:
- Tax-exempt forms will be provided by the school’s bookkeeper.
- These forms must be presented to the motel/hotel at check-in.
OVERNIGHT TRIP PROCEDURES:
- Field Trip Packet:
- If a team plans to stay overnight, the head coach must complete a field trip packet.
- Submission:
- The completed field trip packet should be submitted to the Athletic Director.
- Approval:
- Once received, the principal shall provide the final approval.
- Transportation:
- The athletic program will be responsible for the trip beyond 75miles. A bus request may be submitted for local trips.
END-OF-SEASON AWARDS CEREMONY
To recognize and celebrate the achievements, sportsmanship, and dedication of student-athletes, coaches, and support staff, each sports program is required to host an End-of-Season Awards Ceremony.
Ceremony Requirements:
Individual Program Ceremonies:
Each sport shall host its own separate awards ceremony at the conclusion of its season (fall, winter, or spring). These ceremonies will be organized by the head coach and program staff, with support from the athletic department as needed. Events should highlight team accomplishments, individual recognitions, and program reflections.
Seasonal Athletic Department Ceremonies:
Each program is expected to participate in the school-wide athletic ceremony for their respective season (fall, winter, or spring).
These events will be coordinated by the Athletic Department and include broad recognition of seasonal athletic achievements.
ESPYs Awards Ceremony:
All sports programs shall also participate in the annual ESPYs Awards Ceremony, which will serve as the school’s premier athletic recognition event.

Award Guidelines: Awards should be given based on athletic performance, team contribution, sportsmanship, and personal development. Examples include:

Coaches are encouraged to be thoughtful and inclusive in their selection process.
Responsibilities:
Head coaches are responsible for:
Planning and hosting their individual sports ceremony.
Coordinating with the athletic department for seasonal and ESPYs participation.
Submitting award recipient names and any multimedia content by posted deadlines.
SCHEDULING POLICY
1. Responsibility for Scheduling:
- The head coach is responsible for scheduling all Varsity and Junior Varsity competitions for their sport.
- Exception:
- The DeKalb County School District (DCSD) is responsible for scheduling Junior Varsity basketball games.
2. Approval Process:
- All tentative schedules must be:
- Submitted to the building Athletic Director for review.
3. Contract Requirements:
- Per GHSA regulations, the following sports must have written contracts signed by both participating schools:
- Football
- Basketball
- Baseball
- It is strongly recommended that written contracts be used for all other sports to ensure clarity and accountability.
Additional Notes:
- Coaches should retain copies of all signed contracts.
- Any changes to the schedule after approval must immediately reported to the Athletic Director.
- All schedules must comply with GHSA guidelines and school district policies.
4. Scheduling Considerations:
- Schedules must be made with the overall school calendar in mind.
- Avoid contests during:
- Semester exams
- Standardized testing periods
- Give strong consideration to holiday breaks, particularly:
- Christmas
- Spring Break
- Allow time for family commitments for both athletes and coaches.
- Sunday competitions are strictly prohibited.
5. Communication and Coordination:
- Coaches must share tentative schedules with other programs to:
- Minimize home game conflicts
- Ensure facility and staff availability
- Coordination with the Athletic Director is essential for a smooth athletic calendar.
NO DRUG POLICY
To ensure a safe, healthy, and competitive environment, the Lithonia High School Athletic Department enforces a strict No Drug Policy for all student-athletes. Participation in athletics is a privilege, not a right, and athletes are expected to represent their school and community with integrity and responsibility.
Policy Statement:
- The use, possession, distribution, or sale of any illegal drugs, controlled substances, performance-enhancing drugs (PEDs), vaping devices, alcohol, or tobacco products is strictly prohibited for all student-athletes—on or off school grounds, during or outside of school hours.
- This policy applies:
- During the season of competition
- During the off-season
- At all school functions, athletic events, practices, and travel
- 24/7, year-round, as a condition of representing the school in athletics
Consequences:
Violations of this policy may result in:
- First Offense:
- Immediate suspension from the team (length determined by administration)
- Required meeting with the Athletic Director, coach, and parent/guardian
- Possible referral to counseling or substance abuse education
- Written warning placed in athletic file
- Second Offense:
- Removal from the team for the remainder of the season
- Loss of athletic awards or honors
- Further disciplinary action as determined by school administration
- Third Offense:
- Suspension from all athletic participation for one calendar year
- Possible recommendation for permanent removal from athletic programs
Note: Penalties may be increased based on severity or legal involvement.
Coach and Staff Responsibility:
- Coaches and staff are expected to:
- Model drug-free behavior
- Enforce the policy consistently and fairly
- Report suspected violations to the Athletic Director or school administration
ELIGIBILITY
Eligibility reports are due in the GHSA office on assigned dates listed in the GHSA Calendar. These dates change each year. It is the head coaches’ responsibility to get the team rosters to the athletic director as requested to determine eligibility clearance. Eligibility criteria can be found in the GHSA handbook (By-law 1.00)
Students gain eligibility to practice or compete for the school in which they are enrolled after they have been certified by the principal of that school, after the eligibility forms have been processed by the GHSA office, and after the students have met the standards of:
- academic requirements
- age
- semesters in high school
- residence in the school's service area
- transfer rules
Note: Students establishing eligibility as entering 9th graders are automatically eligible for the first semester unless over age.
FACILITIES
All high school athletic facilities, including the gym, field house, football stadium, baseball and softball fields, tennis courts, soccer fields, weight room, track, and practice fields—are owned by the Dekalb County School Board. These facilities are reserved for use by students, faculty, and staff.
Key Policies:
- Facilities are managed by the Principal and Athletic Director.
- Scheduling must be coordinated through the Athletic Director, with AP/Principal approval.
- Use by outside individuals or groups requires written permission from the Dekalb County School Board.
- Cooperation and communication with all stakeholders are essential due to the shared nature of these facilities.
ATHLETIC FACILITY ACCESS AND KEY POLICY
Coaches will be issued keys to areas necessary for games, practices, storage, and the weight room. These keys are the personal responsibility of the coach and must not be loaned or given to anyone not officially affiliated with Lithonia High School Athletics.
Key Guidelines:
- Keys are assigned based on coaching responsibilities.
- Unauthorized distribution or use of keys is strictly prohibited.
- All outside individuals or organizations must obtain written permission through the Athletic Director, Principal, and Dekalb County School Board to access any athletic facilities.
- Keys must be returned to the Athletic Director immediately upon the end of a coach’s assignment.
PROFESSIONAL DRESS CODE FOR COACHES AND STUDENT ATHLETES
At Lithonia High School, coaches and student-athletes are expected to represent the school and its athletic programs with pride and professionalism. Appropriate attire is an essential part of that representation.
Coaches
- Coaches are expected to dress professionally during all games, practices, team events, and when representing the school at athletic functions.
- Game-day attire should reflect the standards of the sport and convey professionalism and leadership.
- Casual or inappropriate clothing, such as ripped jeans, tank tops, or clothing with offensive graphics or language, is not permitted.
Student-Athletes
- Student-athletes must maintain a neat, clean, and sport-appropriate appearance during practices, competitions, and while traveling with the team.
- Uniforms should be worn properly and with pride, as they reflect the school and team.
- When not in uniform (e.g., during travel or team events), student-athletes should follow the school’s dress code and wear attire that upholds the values of respect, discipline, and team unity.
Note: The Head Coach and Athletic Director reserve the right to determine whether attire is appropriate and to enforce consequences for violations of the dress code.
PARTICIPATION REQUIREMENTS
To participate in any athletic program at S High School, all student-athletes must meet the following requirements prior to tryouts, practices, or competitions:
1. Valid Physical Examination
- All student-athletes are required to have a current physical on file.
- The physical must be completed and signed by a licensed physician and submitted on the official GHSA (Georgia High School Association) physical form, as required by Georgia law.
- A physical is valid for one calendar year from the date of examination.
- The original physical form must be uploaded in Final Forms.
- Head coaches should also keep a copy of each athlete’s physical on file for team records.
2. FinalForms Registration
- Every student-athlete must create and maintain an account in FinalForms, the district’s designated athletic management system.
- The GHSA physical form must be uploaded into the student’s FinalForms profile.
- No athlete will be permitted to participate until all required forms and documentation are completed and verified in FinalForms.
PRESEASON ORGANIZATIONAL MEETING
Each head coach at Lithonia High School is responsible for conducting pre-season organizational meetings to ensure clear communication and shared expectations among student-athletes and parents.
1. Student-Athlete Interest Meeting (Pre-Season)
- Coaches must hold an initial interest meeting with prospective student-athletes prior to tryouts or the start of the season.
- This meeting will provide an overview of:
- The athletic program’s philosophy
- Athletic department procedures
- The coach’s individual team rules and expectations
- Criteria (both objective and subjective) used in team selection
- General season expectations and responsibilities
2. Parent Meeting (Early in the Season)
- Once the season is underway, head coaches must host a parent meeting to review the same topics discussed with student-athletes.
- The meeting should also include a review of the team’s expectation for the Student-Athlete.
3. Required Topics and Handouts
Coaches shall distribute handouts and clearly communicate policies covering the following:
- Team and season expectations
- Team selection process and evaluation criteria
- Practice and game schedules
- Training rules and conduct expectations
- Anti-hazing policy
- Appropriate social media use
- Awards and recognition criteria
- Any additional information relevant to team operations
Documentation of the meetings, including an attendance sheet and distributed materials, should be kept on file by the coach.
POST GAME REPORTING POLICY
To ensure compliance with GHSA regulations and to support student-athletes in their recruitment efforts, coaches are responsible for accurately and promptly reporting all competition results and statistics.
Score Reporting
- Immediately following each competition, the head coach must report the final score to the Athletic Director, who will enter the result into the GHSA MIS Portal.
- Scores must also be reported to both MaxPreps and Hudl as applicable to the sport.
Statistical Reporting
- All game statistics must be submitted within 24 hours of the end of the competition.
- Maintaining accurate stats is essential for:
- Team records and performance analysis
- Media coverage
- Student-athlete recruitment and exposure
Coach Responsibility
- It is the head coach’s responsibility to ensure that all post-game data is:
- Accurate
- Timely
- Consistently reported across all required platforms
Failure to comply with these requirements may affect athlete visibility, program credibility, and compliance with GHSA policies.
PUBLIC / MEDIA RELATIONS
- COACHES SHOULD NEVER SPEAK TO THE MEDIA WITHOUT APPROVAL FROM DEKALB COUNTY’S COMMUNICATIONS DEPARTMENT.
- Assistant coaches should refrain from giving quotes to the newspaper unless directed to do so by the head coach. All information given to media outlets should be cleared through the head coach.
- All comments to the news regarding individual athletes should be positive in nature.
- When meeting with parents, coaches should refrain from discussions regarding other team members unless they and their parents are present.
TEAM MANAGEMENT AND RULES
Each athletic team at Lithonia High School must establish and clearly communicate team rules and expectations prior to the start of the season. These guidelines help ensure fairness, discipline, and accountability within the program.
1. Distribution of Rules
- Team rules must be provided to all student-athletes at the beginning of tryouts.
- Rules should include:
- Practice attendance expectations (including policies on excused and unexcused absences)
- Consequences for tardiness to practices or games
- Disciplinary actions related to behavior and academic issues
- Requirements for earning a varsity letter
- Emergency contact procedures for reaching the coach
- Notice of special practice dates, including:
- Holiday practices (e.g., basketball during Christmas break)
- Pre-season camps (e.g., football during summer vacation)
- Break-time training (e.g., baseball during spring break)
2. Academic Eligibility and Mid-Year Additions
- Coaches may only add previously ineligible players (due to academic issues in the first semester) to a team in the second semester after verifying:
- All courses have been successfully passed
- GHSA eligibility and on-track requirements have been met
- Documentation must be submitted to both the Athletic Director and Principal for approval.
3. Dismissed Players
- Any player who is dismissed from a team (for academic reasons, discipline, or voluntarily quits) may not try out for or participate with another team until the original team’s season has fully concluded.
4. Multi-Sport Participation (Spring Sports)
- While it is possible for a student-athlete to play two sports simultaneously in the spring, it is not recommended.
- The athlete must declare a primary sport and a secondary sport.
- Team sports must be designated as the primary sport.
- The two head coaches must collaborate to coordinate:
- Practice and game schedules
- Conflict resolution protocols
- In the event of a scheduling conflict, the athlete will be required to choose one sport to continue.
5. Documentation and Compliance
- All team rules and expectations must be:
- Written and signed by each player before the season begins
- Kept on file by the head coach
- A copy submitted to the Athletic Director
- A signed agreement ensures all student-athletes understand and accept the standards of their team and coach.
EVALUATION POLICY
To ensure alignment with the philosophy and expectations of the Lithonia High School athletic program, all head coaches will participate in a formal
evaluation process conducted by the Athletic Director.
1. Purpose of the Evaluation
- The evaluation process is designed to:
- Reinforce the core values and philosophy of the athletic program
- Highlight a coach’s strengths
- Provide constructive feedback for areas needing improvement
- Evaluations are completely subjective and are not part of the coach’s official teaching evaluation file.
2. Confidentiality
- Completed evaluations are stored securely in the Athletic Director’s office.
- Access is restricted to the Athletic Director and Principal only.
3. Assistant Coach Evaluations
- Each head coach will have the opportunity to evaluate their assistant coaches at the end of the season.
- These evaluations are also subjective in nature and should be submitted to the Athletic Director for review.
4. Employment Recommendations
- Recommendations regarding coaching renewals or reappointments for the upcoming season are based on the evaluation results.
- The evaluation form includes an acknowledgment section for the coach to confirm their participation in and understand the evaluation process.
COACHES AS EDUCATORS FIRST
At Lithonia High School, every coach is expected to embrace their primary role as a teacher first. Coaching is an extension of the classroom—an opportunity to educate, mentor, and shape student-athletes both on and off the field.
Winning is important, but developing character, discipline, responsibility, and leadership in our athletes is essential. Coaches must model professionalism, uphold academic standards, and create a team culture rooted in respect, integrity, and accountability.
Your influence extends beyond the scoreboard. The lessons you teach through sports teamwork, resilience, and commitment must align with the educational mission of our school and district. COACH ABSENCES NOTIFICATION POLICY
When a coach is unable to attend practices or games, the following steps must be taken to ensure proper communication and continuity:
- The head coach must notify the Athletic Director as soon as possible about the absence.
- The head coach is also responsible for informing all assistant coaches, team members, and parents of the absence.
- If a coach misses a day of work, they may not participate in any practice or game on that same day without prior approval from the Athletic Director.
Timely and clear communication helps maintain team organization and ensures that student-athletes receive proper supervision and coaching.
DUTIES & RESPONSIBILITIES ATHLETIC DIRECTOR
The Athletic Director (AD) is responsible for the overall leadership, direction, and administration of the school’s interscholastic athletic programs. 1. Program Oversight and Leadership
- Develop, implement, and monitor all athletic policies and procedures in alignment with school, district (DCSD), and GHSA guidelines.
- Provide vision and direction for all sports programs.
- Promote a positive, inclusive, and student-centered athletic culture.
2. Staff Supervision and Evaluation
- Recruit, hire, and recommend coaches for all athletic programs.
- Supervise and evaluate head coaches, and oversee the evaluation of assistant coaches.
- Support coaches in professional development and adherence to school and athletic program philosophies.
3. Scheduling and Operations
- Coordinate scheduling of games, practices, tournaments, and facility usage in collaboration with coaches and the Principal.
- Arrange transportation, officials, and event staff for all athletic events.
- Ensure timely and accurate reporting of scores and statistics to GHSA, MaxPreps, and Hudl.
4. Compliance and Eligibility
- Monitor and verify student-athlete eligibility, including academic status and FinalForms documentation.
- Ensure compliance with GHSA rules, DCSD policies, and school-level expectations.
- Maintain accurate physical and medical records for all student-athletes.
5. Budgeting and Fund Management
- Prepare and manage the athletic department budget.
- Approve all athletic purchases and maintain proper inventory of uniforms and equipment.
6. Facility Management
- Coordinate the use, maintenance, and improvement of all athletic facilities and equipment.
- Work with custodial and maintenance staff to ensure safe and functional playing environments.
7. Communication and Community Relations
- Serve as the primary point of contact for parents, media, and community regarding athletic matters.
- Promote athletic achievements through newsletters, announcements, social media, and local outlets.
- Foster strong relationships with students, families, faculty, and the community.
8. Game Day Supervision
- Attend and supervise home athletic events, ensuring safety, sportsmanship, and proper conduct.
- Be present for key away games when possible or designate a representative.
9. Emergency and Risk Management
- Develop and enforce emergency protocols and safety procedures for practices and competitions.
- Collaborate with the Athletic Trainer on injury reporting and student-athlete wellness.
10. Other Duties
- Collaborate with administration to align athletics with academic and behavioral expectations.
- Attend district athletic meetings and represent the school at GHSA and DCSD events.
- Perform other duties as assigned by the Principal/AP or DCSD Athletic Department.
DUTIES AND RESPONSIBILITIES-HEAD COACH-ASSISTANT COACH
The Head Coach is the leader of their respective sport and is responsible for the overall direction, management, and integrity of the program. They serve as a role model for student-athletes and are accountable for maintaining the educational and athletic standards of Southwest High School and the Dekalb County School District (DCSD).
1. Leadership and Program Management
- Establish and communicate a clear vision, philosophy, and goals for the team.
- Oversee all aspects of the program, including tryouts, practices, games, and off-season activities.
- Promote sportsmanship, academic achievement, discipline, and teamwork.
- Supervise and mentor assistant coaches, ensuring alignment with program values.
2. Communication and Coordination
- Maintain open communication with the Athletic Director, school administration, parents, and student-athletes.
- Provide clear expectations and team rules to all athletes at the start of the season.
- Organize and lead pre-season interest meetings and parent meetings.
3. Compliance and Eligibility
- Ensure that all student-athletes meet GHSA and DCSD eligibility requirements.
- Confirm that physicals, FinalForms accounts, and required documents are complete and up to date.
- Report rosters and scores in a timely manner; maintain accurate game stats and player records.
4. Practice and Game Responsibilities
- Plan and execute structured, productive, and safe practices.
- Supervise athletes during all team activities and attend all games.
- Secure and maintain equipment, uniforms, and facilities.
5. Staff and Player Management
- Evaluate assistant coaches and make recommendations to the Athletic Director.
- Address team discipline issues according to school and athletic policy.
- Monitor athlete conduct, academics, and eligibility throughout the season.
6. Administrative Duties
- Submit practice/game schedules, rosters, and required forms to the Athletic Director.
- Comply with financial procedures for camps, fundraising, or fee collection.
- Submit end-of-season reports, award recommendations, and player evaluations.
Duties and Responsibilities: Assistant Coach (Community Coach)
The Assistant Coach supports the Head Coach in leading the athletic program, contributing to both the development of student-athletes and the success of the team. They are expected to uphold the same standards of conduct, professionalism, and commitment.
1. Support and Execution
- Assist the Head Coach in planning and conducting practices, games, and team activities.
- Take direction and contribute to the implementation of team strategy and goals.
- Provide individual and small-group instruction to improve athlete development.
2. Supervision and Safety
- Supervise student-athletes during all practices, games, travel, and team functions.
- Help ensure a safe and respectful environment, both on and off the field.
3. Communication and Conduct
- Maintain a positive and professional relationship with players, parents, and staff.
- Support the Head Coach in communicating expectations and enforcing team rules.
- Model integrity, sportsmanship, and academic responsibility at all times.
4. Administrative Assistance
- Help with equipment setup, inventory, and game-day logistics.
- Assist in record-keeping, stat reporting, and other duties as assigned by the Head Coach or Athletic Director.

For Coaches
Coaches are role models and leaders. Your behavior sets the tone for your athletes, your team, and the community. You are expected to:
- Demonstrate respect for officials, opponents, players, and spectators.
- Promote positive team conduct, even in moments of high emotion or adversity.
- Emphasize character and effort over winning at all costs.
- Hold your team accountable to the values of fair play and good judgment.
For Student-Athletes
As representatives of our school, student-athletes are expected to:
- Show respect to opponents, officials, coaches, and teammates always.
- Play with honor, effort, and pride, win or lose.
- Avoid taunting, trash-talking, or unsportsmanlike behavior.
- Represent Lithonia School with dignity on and off the field.
We believe that how we compete matters just as much as the result. True success is measured not only in victories, but in how we treat others and represent ourselves and our school community. Sportsmanship isn’t optional, it’s who we are.
PROFANITY POLICY
To uphold a culture of respect, sportsmanship, and professionalism, the use of profanity or inappropriate language by athletes, coaches, or staff is strictly prohibited within the athletic department.
Expectations:
- All athletes, coaches, and staff are expected to:
- Always communicate respectfully.
- Avoid any form of profanity, vulgarity, or derogatory language during:
- Practices
- Games/competitions
- Travel
- Locker room interactions
- Team meetings
- Any school-related activity
Consequences:
Profanity may result in progressive disciplinary action, including but not limited to:
- Verbal warning from the coach or staff.
- Written warning and parent/guardian notification.
- Suspension from practice or competition.
- Removal from the team for repeated or severe offenses.
Coaches are expected to model appropriate behavior and address violations immediately.
Reporting:
- Incidents should be reported to the Athletic Director or school administration.
- Reports will be handled confidentially and professionally.
INJURY REPORTING PROCEDURE:
1. Immediate Response
- Assess the injury and provide appropriate first aid or medical attention.
- If necessary, call 911 or arrange emergency transportation.
- Notify the Athletic Trainer (if available) and the head coach immediately.
2. Notification of Parent/Guardian
- As soon as possible, notify the athlete’s parent or legal guardian of the injury.
- Provide only factual, necessary information and avoid speculation or diagnosis.
- No information should be shared with others unless written consent is provided (see HIPAA Compliance).
3. Documentation
- Complete an Injury Report Form the same day or within 24 hours.
- Include: date/time, nature of injury, how it occurred, actions taken, and witnesses.
- Submit the form to the Athletic Trainer and/or Athletic Director.
4. HIPAA Compliance
- Do NOT discuss the injury with anyone outside the department (including media) without written consent from the athlete's legal parent/guardian.
- Keep all injury-related documents secure and confidential.
5. Return-to-Play
- An athlete may only return to practice or competition with written medical clearance (from a physician or certified healthcare provider).
- Clearance must be submitted to the Athletic Trainer or Athletic Director before resuming participation.
6. Coach's Responsibilities
- Ensure the injured athlete receives proper care.
- Communicate promptly with administration, trainers, and parents.
- Follow all school and district guidelines for injury response and reporting.
CAMPS, TOURNAMENTS, AND LEAGUES POLICY
All camps, tournaments, and athletic leagues involving Lithonia High School student-athletes must receive prior approval from the following:
- Athletic Director
- Principal
- Dekalb County School District (DCSD) Athletic Office
Financial Procedures
- If fees are collected for participation in any camp, tournament, or league, all school and district accounting procedures must be strictly followed.
- This includes proper collection, documentation, and deposit of funds in accordance with DCSD financial policies.
No athletic event, camp, or league may be promoted, organized, or hosted under the school’s name without full administrative approval and financial compliance.
